Privacy Policy

This policy explains what information hla-fl.org collects, why, how it is used and what choices you have. It is written in plain language for a small volunteer nonprofit. We never sell your information.

In short

  • We collect information only when you send it to us through a form, plus anonymous visit counts from Google Analytics.
  • Form submissions are emailed to our volunteers and kept in the site's content system so we can follow up.
  • We use Google Analytics 4 to count visits. It does not store IP addresses and we do not use it for advertising.
  • Some pages show content from hearingloss.org, YouTube and Zeffy, which have their own privacy policies.
  • We do not sell, rent or trade your information. Ever.
  • Questions go to info@hla-fl.org.

Owner and data controller

The Hearing Loss Association of Florida, Inc., 8121 Braddock Cir Apt 6, Port Richey, FL 34668, United States.

Owner contact email: info@hla-fl.org.

Types of data collected

We collect two kinds of information.

  • Information you give us. When you fill in a form on this site (contact, volunteer, scholarship, sponsorship, hearing loop request and similar), we collect what you type: usually your name, email address, phone number, city and your message. Some forms ask for more, such as a scholarship essay. Fields marked with an asterisk are required to send the form; everything else is optional.
  • Usage data. Google Analytics 4 records pages you visit, the approximate region you visit from, your browser and device type, how you arrived and how long you stay. Google Analytics 4 does not log or store IP addresses for visitors in the United States. Advertising features are turned off.

Mode and place of processing

Form submissions are sent by email to the HLAA-FL inbox and stored in the site's content management system so volunteers can follow up and keep a record. Access is limited to HLAA-FL officers and the volunteers or contractors who maintain the site, all of whom are bound to use it only for HLAA-FL work.

The site is hosted in the United States. Email and content systems used by HLAA-FL are operated by U.S. providers. We use reasonable technical measures, including encrypted connections, access controls and spam filtering, to protect your information.

Purposes of processing

  • To answer your message or request.
  • To connect you with a Florida chapter, a volunteer role, a sponsorship or a program you asked about.
  • To review scholarship applications.
  • To send the HLAA-FL newsletter if you signed up for it. Every email includes an unsubscribe link.
  • To understand which pages are useful so we can improve the site (analytics).
  • To keep records the organization is required to keep and to protect the site from abuse.

Detailed information on processing

Analytics

We use Google Analytics 4, a service of Google LLC, to measure traffic. It sets a first-party cookie to tell repeat visits from new ones. Advertising storage and personalization are disabled. You can block analytics with a browser setting or extension, and the site works the same. Google's own policy describes how it handles this data: policies.google.com/privacy.

Forms and contact

Forms on this site are processed on our own server and delivered by email using an SMTP mail service. Each form includes a hidden field that traps automated spam; it is never shown to people. Submissions are stored in the site's content management system for record keeping.

Displaying content from external platforms

Some pages embed or pull content from other services. When you view that content, those services may collect data about you under their own policies:

Hearing Loss Association of America (hearingloss.org): event listings and news items shown on this site come from HLAA national's public website. Links take you to hearingloss.org.

YouTube (Google LLC): embedded videos. YouTube may set cookies when you play a video.

Zeffy: online donation forms and the email updates signup list. Payment details are entered on and processed by Zeffy, not on this site. For donations we receive your name, contact details and gift amount so we can thank you and issue a receipt. For email updates, Zeffy stores the name and email address you enter and sends our updates, each with an unsubscribe link.

Tag management

We may use Google Tag Manager to load analytics tags. Tag Manager itself does not collect personal data; it controls which tags load.

Legal basis for processing

We process your information because you asked us to (when you send a form or sign up for the newsletter), or because we have a legitimate interest in running a safe website, understanding which pages help people, and keeping the records a nonprofit must keep. You can opt out of analytics at any time with a browser setting, an extension such as Google's Analytics Opt-out Add-on, or by clearing cookies.

Retention

Form submissions are kept for as long as needed to respond and for a reasonable period afterward for records, then deleted. Scholarship applications are kept for the award cycle and one year after. Newsletter subscriptions are kept until you unsubscribe. Analytics data is retained by Google under the retention setting we choose, currently 14 months. We keep donation records as long as tax and Florida charitable registration rules require.

Your rights

You can ask us at any time to:

  • Tell you what information we hold about you.
  • Correct it.
  • Delete it, unless we must keep it for legal or tax reasons.
  • Stop sending you the newsletter or other messages.
  • Give you a copy of what you sent us.

Cookie policy

This site uses two kinds of cookies. Essential cookies keep the site working; they do not track you. Analytics cookies from Google Analytics 4 count visits and are not used for advertising. We do not show a cookie pop-up: United States law does not require one for analytics cookies, and we would rather not put a barrier in front of people looking for help. Embedded YouTube videos and Zeffy forms may set their own cookies when you use them. You can block or delete cookies in your browser settings; the site remains usable.

Children

This site is for a general audience and is not directed to children under 13. We do not knowingly collect information from children. If a parent believes a child has sent us information, contact us and we will delete it.

Changes to this policy

We will post any changes on this page and update the date at the top. If a change affects how we use information you already gave us, we will contact you where we can.

Contact us about privacy

To exercise any of the rights above or ask a question, email us or use the contact page. We will reply within a reasonable time.
